Purchase Order Generator Online — PDF
Issue a purchase order (PO) PDF that tells Indian vendors exactly what to supply, in what quantity, at what agreed rate, and by when. Buyers use POs to control spend and create an audit trail from quotation to goods receipt; suppliers use them to confirm orders before dispatch. FactoBills structures buyer, vendor, line items, delivery, and commercial terms into a print-ready document.

What is a purchase order?
A purchase order is the buyer’s official instruction to a seller to supply specified goods or services under stated commercial terms. In Indian businesses it is the bridge between an approved quotation and later delivery challans, GRNs, and tax invoices. Without a PO, accounts payable often struggles to match invoices to authorised spend.
POs protect both sides when written clearly: item identity, quantity, rate, delivery location, and due date. Vendors should acknowledge or confirm; buyers should keep PO revisions controlled so “PO-118 Rev B” does not collide with outdated quantities. FactoBills helps you produce the PDF artefact; ERP reservation and inventory posting remain in your own systems.
Typical flow: quotation → PO → delivery challan / GRN → GST invoice → payment receipt. Linking those template IDs in your SEO and UX clusters helps users discover the full procurement document set on FactoBills.
POs apply to raw materials, IT assets, marketing print jobs, and professional services retainers. Adapt line descriptions to the category but keep the control fields—number, dates, totals—always visible.

When to use a purchase order
- Procurement needs a formal commit before a vendor ships or starts work
- You accepted a quotation and must lock quantities and rates in a buyer document
- Stores or sites need a PO number on delivery challans and invoices for GRN matching
- Multi-location companies separate bill-to finance address from ship-to warehouse address
Common use cases
- Manufacturing raw material and packaging buys
- IT and office asset procurement
- Agency and print job authorisations
- Multi-site ship-to purchase control
Key fields on a purchase order
- PO number and date — buyer’s primary reference for all subsequent documents.
- Vendor details — who is authorised to supply against this order.
- Bill-to / ship-to — finance address versus physical delivery location.
- Line items — description or SKU, quantity, unit, rate, and line value.
- Delivery and payment terms — when goods are due and how/when you will pay.
- Authorisation — name or designation of the buyer signatory if your process needs it.
Example: packaging PO from a Pune foods brand
A Pune foods brand accepts a printer’s quotation for 20,000 mono cartons. Purchase raises PO-FB-774 dated 12 March, ship-to the Chakan plant, delivery by 28 March, rates locked from quote QT-882. Lines list carton size, board GSM, and print reference so the vendor cannot substitute stock.
When cartons arrive, the challan cites PO-FB-774; the GST invoice does the same. AP three-way matches PO, GRN, and invoice amounts with fewer exceptions. A second colourway later gets PO-FB-775 instead of silently editing the first PDF.
Use POs to authorise spend clearly before delivery and invoice. This is not legal or tax advice—align terms with your procurement policy. Preview free, download a clean PDF for the vendor.
Frequently asked questions
What is a purchase order?+
A purchase order (PO) is a buyer’s formal request to a vendor listing items, quantities, and delivery details. It authorises procurement; it is not a tax invoice.

How does a PO relate to GST invoice and delivery challan?+
