What is a quotation?
A quotation (or estimate) is a seller’s written offer stating what will be supplied, at what price, under what conditions, and for how long the offer remains valid. In Indian trade it sits before the purchase order and tax invoice: the buyer uses it to compare vendors and to get internal budget approval. It is commercial communication, not automatically a tax invoice.
Good quotations reduce disputes. Clear descriptions, unit rates, quantity assumptions, and validity dates stop “we thought it included X” arguments after work starts. Many SMEs still send rates on chat; a PDF from FactoBills gives the same numbers a letterhead-style structure clients can forward to purchase committees.
After acceptance you may receive a PO, deliver against a challan, invoice under GST, and collect against a payment receipt. FactoBills clusters those related templates so your document trail stays coherent from estimate to cash.
Quotes work for both goods (tiles, furniture, spare parts) and services (AMC, design, installation). Adjust line wording to the trade; keep totals and validity impossible to miss on the first page.
How to create a quotation online
- 01
Enter your business name and contact details, then the client’s name and site or billing address.
- 02
Assign a quote number and date, and set a validity period (for example 7 or 15 days).
- 03
Add line items with descriptions, quantities, and unit rates for the proposed scope.
- 04
Include estimated taxes if you show them, plus delivery, payment, or warranty notes.
- 05
Preview the quotation, download the PDF, and send it for written approval before invoicing.
When to use a quotation
- A buyer asks for a formal estimate before issuing a purchase order
- You need a validity-dated offer for materials, fabrication, or professional services
- Sales teams want a consistent PDF instead of scattered WhatsApp rate lists
- You plan to convert an accepted quote into a GST invoice and delivery challan later
Common use cases
- B2B product and materials estimates
- Service retainers and project proposals
- AMC and maintenance rate offers
- Vendor comparison packs for purchase teams
Key fields on a quotation
- Quote number and date — unique reference for revisions and email threads.
- Validity — how long rates hold; critical in volatile material markets.
- Buyer and site details — who the offer is for and where work or delivery applies.
- Line items — scope, quantity assumptions, and unit rates without vague “lot” wording when avoidable.
- Taxes and terms — estimated GST presentation, payment milestones, delivery lead time.
- Acceptance note — space for client confirmation or signature if you use wet-ink approval.
Example: interior fit-out quote in Ahmedabad
A modular furniture vendor in Ahmedabad quotes a clinic fit-out: reception desk, cabinetry, and installation labour as separate lines, quote Q-AHM-209 valid for 10 days. Material rates assume a listed laminate finish; the note states that stone upgrades are extra. Estimated GST is shown so the clinic’s purchase head can budget landed cost.
The clinic accepts by email citing the quote number. The vendor later raises a purchase-order match, delivery challans for phased installation, and GST invoices per milestone—each document referencing Q-AHM-209 for traceability.
Share clear quotations before you invoice. This is not tax or legal advice—confirm final tax treatment on the invoice with your CA. Preview free, download a PDF to send for approval.
Frequently asked questions
What is a quotation?+
A quotation (quote or estimate) is a commercial offer stating price and terms before work or supply begins. It is not a tax invoice.
Is a quotation the same as a GST invoice?+

When should I send a quotation?+
Send a quote when a buyer asks for pricing before confirming an order—especially for projects, B2B supply, or custom services.
Can I add GST on a quotation?+
Yes. You can show estimated CGST/SGST or IGST so the buyer sees approximate landed cost. Final tax treatment belongs on the tax invoice.
